PO with Names: 

Dear [Enter Tech’s Name],  

Based on my research, I show that PO# [Enter PO] is not a valid PO. Please provide a valid PO from the Customer for me to update the invoice.  

 

PO with SOS/SOA: 

Dear [Enter Tech’s name],  

SR# [Enter SR#] was closed with a PO of SOS/SOA and the Customer was invoiced in the amount of [Enter Invoice Amount]. Please provide a valid PO or a reason for these charges to be overridden. 

 

PO with Warranty:  

Dear [Enter Tech’s name],  

SR# [Enter SR#] was closed with a PO of Warranty and the Customer was invoiced in the amount of [Enter Invoice Amount]. I show that SN [Enter SN] has a warranty end date of [enter warranty end date], which expired before this SR. Please provide me with a valid PO# or a reason for these charges to be overridden. 

 

PO with Agreement/PMA/Contract: 

Dear [Enter Tech’s name],  

SR# [Enter SR#] was closed out with a PO of Agreement and the Customer was invoiced in the amount of [Enter Invoice Amount]. I show that SN [Enter SN] is not covered under an agreement. Please provide me with a valid PO# or a reason for these charges to be overridden. 

 

 

PO with N/C or SVC Concession: 

Dear [Enter Techs Name}  

SR# [Enter SR#] was closed out with a PO of N/C and the Customer was invoiced in the amount of [Enter Invoice Amount]. The SN [Enter SN] is not currently covered under warranty or agreement.  Please provide me with a valid PO# or a reason for these charges to be overridden. 

 

 

 

PO with Credit Card: 

Dear [Enter Techs Name}  

SR# [Enter SR#] was closed out with a PO of Credit Card and the Customer was invoiced in the amount of [Enter Invoice Amount]. However, the SR was closed without entering the credit card information and the Customer’s credit card was not charged. Please provide me with the following credit card information:  

  • Credit Card #,  

  • Type of Credit Card,  

  • Cardholder Name,  

  • Expiration Date.  

If you do not have this information, please provide me with Customer’s name and contact number and I will contact them. In the future, do not close out the SR without applying payment, leave the SR in Completed Status with a sub status of Credit Card and reach out to your SSA.

PO with 3rd Party PO Scheme but invoiced End User: 

Dear [Enter Techs Name] 

SR# [Enter SR#] was closed out with PO of [Enter PO] and the Customer was invoiced in the amount of [Enter Invoice Amount]. PO # [Enter PO] follows the PO scheme typically used by [Enter 3rd Party Name]. Please advise if this is a PO from [Enter 3rd Party Name] or [Enter End User’s Name]. 

 

PO with End User PO Scheme but invoiced 3rd Party: 

Dear [Enter Techs Name] 

SR# [Enter SR#] was closed out with PO of [Enter PO] and [Enter 3rd Party Name] was invoiced in the amount of [Enter Invoice Amount]. PO # [Enter PO] does not follow that of [Enter 3rd Party Name], their PO’s  typically have a PO Scheme of [Enter PO Scheme info from Incorrect PO report]. Please advise if we should have invoiced [Enter End User’s Name].
